Purpose: This Safeguarding Policy sets out Kokni Community Luton’s approach to protecting children, young people and vulnerable adults from harm in all activities and events we organise. It explains how we identify risks, how concerns can be raised, and how they will be handled.
Scope for raising concerns: Any individual involved with or affected by our activities — including participants, volunteers, parents and members of the public — may raise a safeguarding concern.
Data security: Information relating to safeguarding reports will be handled securely and shared only on a need-to-know basis in line with GDPR.
Kokni Community Luton (KCL) is committed to safeguarding and promoting the welfare of children, young people, and vulnerable adults who participate in our activities and events. We recognise our responsibility as a registered charity to take all reasonable steps to ensure a safe and inclusive environment and to respond appropriately to any safeguarding concerns.
Safeguarding is everyone’s responsibility and is overseen by the charity’s trustees.
This policy applies to all organisers, volunteers, helpers, and coaches involved in our activities, and to all children and vulnerable adults attending our events.
All participants are treated with respect and dignity
Activities take place in a safe, supervised environment
Safeguarding concerns are taken seriously and acted upon promptly
We work in line with UK safeguarding legislation and recognised guidance
Child: Anyone under the age of 18
Vulnerable Adult: A person aged 18 or over who may need additional support due to age, disability, illness, or other circumstances
Safeguarding: Protecting people from abuse, harm, neglect, or exploitation
A Safeguarding Lead will be appointed for events. They act as the first point of contact for safeguarding concerns and ensure concerns are recorded and escalated appropriately.
Overall responsibility for safeguarding sits with the charity’s trustees.

All organisers and volunteers must:
Act professionally and appropriately at all times
Avoid being alone with a child or vulnerable adult where possible
Never engage in inappropriate physical contact, language, or behaviour
Respect confidentiality while prioritising safety
Children should be adequately supervised at all times.
Parents or guardians remain responsible for their children unless explicitly stated otherwise for a specific activity.
Recommended minimum supervision:
Under 8s: 1 adult to 8 children
Ages 8–12: 1 adult to 10–12 children
Ages 13–17: 1 adult to 15 young people
Photos or videos will only be taken with appropriate consent. Consent is obtained via event registration, signage at events, or direct permission from parents or participants.
No photography is permitted in changing areas or toilets.
If a safeguarding concern is identified:
Listen carefully and take the concern seriously
Do not promise confidentiality
Record the concern as soon as possible
Report it immediately to the Safeguarding Lead
If there is immediate danger, contact emergency services (999).
Where appropriate, concerns may be referred to Local Authority Children’s Services or Adult Social Care.

Any allegation of abuse or inappropriate behaviour involving an organiser or volunteer will be taken seriously. Where necessary, the individual may be suspended from duties while concerns are investigated.
Allegations will be managed in line with local authority guidance and referred to external agencies where required.
